Outreach and Email Templates

Messages That Earn a Reply

Good outreach is short, specific, and about the buyer, not about you. Lead with a relevant problem, show you did your homework, and make the next step tiny. Replace everything in brackets with real, specific detail. If you cannot personalize the first line, you have not earned the send.

Cold Email: Problem-Led

In practice — Template

Specification
Subject: [specific problem] at [company] Hi [name], Teams like yours at [company] often lose [specific hours or dollars] to [specific problem], especially after [relevant trigger you noticed]. We help [similar companies] cut that by [specific outcome]. One customer, [comparable example], went from [before] to [after] in [timeframe]. Worth a 15-minute look? If not, no hard feelings and I'll stop there. [Your name]

Follow-Up (No Response)

In practice — Template

Specification
Subject: Re: [specific problem] at [company] Hi [name], Floating this back up in case it got buried. The reason I reached out: [one-line specific problem]. If this isn't a priority right now, just say "not now" and I'll circle back later. If it is, here's a link to grab 15 minutes: [link]. [Your name]

The Breakup / Last Touch

In practice — Template

Specification
Subject: Closing the loop Hi [name], I've reached out a couple of times about [problem] and haven't heard back, which usually means it's not the right time. I'll stop here so I'm not cluttering your inbox. If things change, you know where to find me. Wishing you a strong quarter. [Your name]

Referral Request (Happy Customer)

In practice — Template

Specification
Subject: Quick favor Hi [name], Really glad [specific result] is working out. When customers see results like that, they often know one or two peers wrestling with the same thing. Is there anyone who comes to mind that I could help the same way? A one-line intro is all it takes, and I'll take it from there. Thank you either way. [Your name]

Re-Engagement (Gone Quiet Mid-Deal)

In practice — Template

Specification
Subject: Still worth it? Hi [name], We were making good progress on [goal], then things went quiet, which is completely normal when priorities shift. I don't want to chase; I just want to know where this stands. Is this still worth pursuing this quarter, or should I check back later? Either answer is genuinely fine. [Your name]

Quick Reference

  • Lead with the buyer's problem, not your product.
  • Personalize the first line or don't send it.
  • Make the next step small and easy to say yes to.
  • Always give an easy, graceful way to say no.
